For companies

Booking & process

How does booking work?

You send us the occasion, location, date, working hours and the positions you need – via form, quiz, email or WhatsApp. Within 24 hours you receive suitable profiles and an individual quote. You choose, and we take care of briefing, organisation and handling.

How quickly will I receive a quote?

Within 24 hours. The calculator on our booking page gives you a first orientation in advance.

How short-notice can I book Faces?

You usually receive suitable profiles within 24 hours. As many Faces live in the region of your event, short-notice assignments are often possible too. During peak times of major trade fairs, we still recommend requesting early.

How early should I book?

The earlier, the bigger the choice. For major trade fairs, festivals and peak seasons, we recommend enquiring a few weeks in advance. For smaller assignments a few days are often enough – and we always try to make short-notice requests possible through our network.

How much does a hostess, promoter or model cost?

That depends on the position, the length of the assignment, the number of Faces and your requirements – for models also on the usage rights. The calculator on our booking page gives you a first orientation, and we send your individual quote within 24 hours.

Is there a minimum booking?

Yes, the minimum booking is four hours per Face and assignment.

How does invoicing work?

With the order confirmation you receive an invoice for a 50 % deposit. Your Faces are scheduled for you from the moment of booking – they start the assignment once the deposit has been received or proof of payment is available. The remaining amount is due seven days after the end of the project. For returning clients we usually agree on full payment seven days after the end of the project.

What happens if we need to cancel or change something?

Let us know as early as possible – we are happy to implement changes where possible. You will find the cancellation terms in our terms and conditions.

How many Faces do I need, and do I need a team leader?

That always depends on the assignment – on the floor space, stand or venue, the scale, the expected audience and the tasks. Whether trade fair, festival, promotion or corporate event: we are happy to advise you and suggest a suitable line-up. For larger assignments or several Faces, we recommend a team leader who coordinates on site and is your direct contact.

Who is our contact on the day?

From your request to the feedback you have one fixed contact person with us – including on the day of the assignment. For larger projects, a team leader also coordinates on site.

Who briefs the Faces?

We do. You give us the information on schedule, product, target group and contacts, and we brief the Faces in advance. On request, an additional online or in-person briefing with you is possible – for an extra charge.

Can we keep working with the same Faces?

Very gladly, as long as they are available. Especially for recurring trade fairs, roadshows or long-term projects, we rely on fixed line-ups who already know your brand and processes.

Can we meet the Faces beforehand?

Yes. You receive profiles with comp cards and choose yourself. On request, we organise a digital casting or a personal meeting – so the chemistry between your brand and the Face is right from the start.

What happens if a Face drops out at short notice?

We use our nationwide network to find an adequate replacement. That is part of our service – you don't have to worry about it.

Which cities do you work in?

Nationwide – in more than 25 cities. We are based in Frankfurt am Main, and wherever possible we suggest Faces who live in the region of your event. That keeps journeys short and assignments punctual.

Are there travel or accommodation costs?

Only by prior arrangement. As we work with Faces from the region wherever possible, such costs usually don't arise at all – if they do, you will see them transparently in the quote.

Can Faces be booked for several days?

Yes. Whether trade fair, congress, promotion or roadshow: we rely on a fixed line-up for the entire period, so your Faces get to know the product and processes better every day.

Are long-term assignments possible?

Yes. Alongside individual events, we staff recurring assignments and long-term projects – such as roadshows, longer promotion campaigns or permanent assignments in stores, showrooms or boutiques.

Who provides the outfits?

Just as you like: you provide branded shirts or your own outfits, or our Faces come in their own well-groomed look – classic and elegant by default, for example a black suit or trouser suit with a light blouse or shirt. On request, we coordinate the style with you and see what can be done – we can also put together, order or organise outfits for you.

Which languages can I book Faces in?

German and English are standard. Beyond that, more than 33 languages are represented on our books – so we find suitable Faces for almost every international target group.

Do the Faces help with set-up and dismantling?

Yes, if agreed in advance – for example when stocking the trade fair stand or packing up at the end. For larger set-ups and dismantling we also provide event assistants and logistics Faces who focus entirely on these tasks.

How is catering on site handled?

The client provides non-alcoholic drinks and small snacks for the Faces at every assignment. For assignments of six hours or more, a full meal is added – alternatively, a meal allowance applies.

What do we need to provide on site?

Drinks and small snacks – for six hours or more also a meal or the meal allowance – as well as a place for personal belongings, such as a locker or a shelf in the stand storage. For trade fairs and events with tickets or passes, please provide exhibitor, staff or admission passes; plus branded clothing and working materials such as tablets, flyers or samples if needed.

What if we are not satisfied on site?

Let us know directly – ideally right away. We clarify it with the Face immediately and find a solution together with you, up to a replacement if possible.

What is the Faces' contractual status?

We work with professional freelancers and with Faces registered through us as short-term or mini-job employees, and we comply with all legal requirements. For you it makes no difference: your booking runs through us, and you receive an order confirmation from us.

What happens if there are technical problems on site?

Our Faces report problems immediately, and we take care of fixing them right away. Until then, they simply use pen and paper – so no contact is lost during lead capture.

Is a contribution to the German artists' social insurance fund (KSK) due?

Usually not for hostess or promotion assignments. For artistic model services, we are happy to advise you on possible contributions.

Hostesses & business hostesses

What does a hostess do at an event?

Hostesses welcome and look after guests, handle accreditation, cloakroom, info desk, lead capture or VIP care and are the first point of contact on site.

Which trade fairs and events do you provide hostesses for?

For trade and consumer fairs, congresses, conferences, AGMs, galas, corporate events, product launches and sporting events – at all major exhibition grounds and event venues across Germany.

Can I also request male hosts?

We would love that! On our books you will find wonderful hosts, promoters, models and presenters. They are often underestimated – yet they are a perfect fit for many brands, trade fair stands and formats.

What is the difference between event and business hostesses?

Event hostesses are ideal for reception, guest care and admission. Business hostesses specialise in trade fairs and B2B events: they pre-qualify visitors in conversation, capture contacts, master business etiquette and usually speak several languages.

Do hostesses also serve at the trade fair stand?

Yes. Hostesses are true all-rounders on site – including light service, such as drinks and snacks at the bar or counter. For more extensive tasks such as a stand kitchen, catering or buffet service, we also provide service Faces.

Promotion & Brand Ambassadors

Which promotions do you provide promoters for?

For example for sampling and tastings in supermarkets, drugstores and perfumeries, for POS promotion in department stores and shopping centres, for trade fair promotion as well as for openings, roadshows and corporate events.

What do promoters do?

Promoters actively approach people, present products, hand out samples and flyers, run tastings and create attention – in retail, shopping centres, at festivals, trade fairs or on the street. On request, they capture contacts or document results.

What is the difference between promoters and Brand Ambassadors?

Promoters are there for your campaign: they actively approach people, hand out samples and create attention – in shopping centres, in retail or at events. Brand Ambassadors represent your brand over a longer period, know the product and brand values in detail and build a genuine connection with customers.

Do you also offer tours or seasonal campaigns?

Yes. We accompany roadshows with a fixed line-up and, on request, a team leader, and we staff seasonal campaigns, for example for Christmas, Easter or Valentine's Day.

How is the success of a promotion documented?

Individually according to your goal: for image campaigns you receive a report with impressions and customer quotes; with a lead focus, we capture results digitally.

Do I need a permit for promotions in the city centre?

For promotions in public spaces, a special-use permit from the city is usually required; in shopping centres, department stores and markets, the operator's consent. We point this out during planning. We only handle the application on request, as we specialise in providing Faces.

Presenters

Which events do you provide presenters for?

For trade fair stages and live talks, galas and award shows, congresses and panels, product launches, corporate events, store openings and sporting events – nationwide, in German, English or bilingual.

What makes a good presenter?

Composure, quick wit and a voice that carries – but above all the ability to listen, read the mood in the room and react charmingly even when something goes wrong.

How do presenters get to grips with our topic?

With a detailed briefing on schedule, target group, technical terms and products. On request, we coordinate presenter cards and interview questions with you in advance.

How early should I book a presenter?

The earlier, the bigger the choice – we recommend a few weeks' notice. Short-notice requests are often possible through our network, too.

Do presenters also support the stage management on site?

Yes. Experienced presenters work closely with technical crews and stage management and are confident with in-ear, teleprompter and schedules.

Is bilingual presenting possible?

Yes. Many of our presenters switch fluently between German and English – ideal for international trade fairs, congresses and galas.

How much does a presenter cost?

That depends on duration, preparation, language and format. A short talk is calculated differently from presenting at a trade fair over several days – you receive an individual quote within 24 hours.

Models & content

Which projects do you provide models for?

For example model hostesses at trade fairs, fashion shows and collection presentations in showrooms, photo and video shoots, commercials and image films, as well as product launches, galas and events.

How do I find the right model for my brand?

We advise you based on your mood board or campaign goal and suggest profiles that authentically appeal to your target group – selected for presence, personality and strengths.

Are there models in specific sizes and types?

Yes. From petite and classic to curvy & plus size, best agers or tattooed Faces: tell us sizes, measurements and type, and we will suggest suitable Faces – ideal for fittings, showrooms and e-commerce. We do not provide child models.

Can models also be booked for video and UGC?

Yes. Many of our Faces specialise in content that feels natural and genuine, and know how to present products in a lively way on video.

How are usage rights and buyouts handled?

Buyouts are usage fees for photo and video material. We agree the scope and duration of use – for example for website, social media, print or campaign – with you in advance and record them in the quote. That way it is clear from the start where the footage may be used.

About Lunéve

What sets Lunéve Agency apart from other agencies?

Our founder Victoria Ahlers worked as a hostess, model, presenter and promoter herself for more than ten years. That is why we have a special eye for casting and execution – and say openly when something is missing or could be solved better. You have one fixed contact person throughout, we communicate at eye level and stay approachable – almost a little like family.

What do you look for when selecting Faces?

Presence, communication skills, reliability and a proactive way of working. Depending on the assignment, our Faces bring additional experience, for example from medicine, technology, automotive, hospitality or modelling.

Which industries do the Faces work in?

In almost all of them – from beauty and fashion to complex technology, banks, insurers and medicine.

For Faces

Fees & invoicing

How is my fee made up?

Of an agreed amount per hour or day. This includes your work and – for example for model jobs – the necessary usage rights.

When is my fee paid out?

According to the agreed payment term. For longer projects, individual instalments are possible.

What happens if a client cancels at short notice?

That depends on what was agreed for the assignment. If a cancellation fee has been agreed, the amount depends on the time of cancellation and the agreement made.

Do I invoice travel time?

Travel time usually does not count as working time – unless a flat rate or payment for it was agreed in advance in the job offer.

How do I handle the small business rule?

If you, as a freelancer, fall under the German small business rule (§ 19 UStG), you do not show VAT on your invoice. Whether the thresholds apply to you is best clarified with your tax adviser.

Assignments & appearance

How do I apply as a Face?

Via our application form here on the website – with current photos, experience and languages. We review every application carefully and get back to you after the review.

Can I also apply as a presenter?

Yes. For presenting, we are looking for personalities with stage and presenting experience. Feel free to submit your application via the application form – ideally with references or videos. We will review it and get back to you.

Can I work as a student or alongside my job?

Yes. Many of our Faces study or work alongside. Depending on your situation, this runs via short-term employment, a mini job or freelance – we discuss with you what fits.

Do I have to accept every request?

No. You decide which assignments you take on. Once you confirm, however, we rely on you.

What is a comp card?

Your digital business card with photos, measurements, languages and experience. Clients often decide in seconds – an up-to-date comp card is therefore your most important tool.

How recent do my photos have to be?

No older than two years. If your look changes significantly – such as hair colour or length – please update your profile immediately.

May I hand out my own business cards?

No. During the assignment you exclusively represent our clients. Self-promotion or passing on private contact details is not allowed.

How do I find my contact person at a busy trade fair?

In the briefing you will find the hall, stand number and a mobile number. It is best to call or send a short message when you arrive.

Are there rules for nails and jewellery?

Unless briefed otherwise: well-groomed nails in neutral colours such as nude, clear varnish or French, and discreet jewellery.

How do breaks work at large trade fairs?

Breaks are coordinated among each other so the stand is never unattended – in the morning with the team leader or directly with the client on site.

Who is liable for property damage during an assignment?

That depends on your employment status. If you are registered through us as a short-term or mini-job employee, accidentally caused damage is covered by the agency. As a freelancer you are self-employed – your own professional or business liability insurance usually applies, so we strongly recommend such insurance.

What happens in case of an unexcused no-show?

A no-show leads to exclusion from our books and can result in claims for damages. Reliability is the most important thing to us.

What if I have to cancel at short notice myself?

Please call us immediately – by phone, not just by message – so we can find a replacement in time. Cancellations without good reason may incur a contractual penalty; in case of illness we may request a doctor's certificate.

What happens to my data?

We only use your data to suggest suitable assignments and handle bookings, and only pass your profile on to clients as part of a request. You can change your profile or have it deleted at any time – all details can be found in our privacy policy.
